LESSON 7-6: Using the Workplan Page

1. Add, Schedule, and Update tasks on the Work Plan page.
Use the Work Plan page to add, schedule, and update tasks. Let's review the sections of the page. The Hopper contains unplanned tasks with no due date assigned. The planning board presents a graphical view of scheduled tasks. In both sections, tasks are color-coded by company.
2. Schedule a task.
To schedule a task, drag it from the hopper to the planning board. Move and stretch a task to adjust its duration and due date. Tasks have graphical indicators of their properties. For example, these tasks are overdue. Their due dates have passed, and they are not complete. This task has one or more handoffs, which are used to model relationships between tasks. Click to view the handoffs panel, which provides a diagram of task relationships. Here, we see that after the basement slab is poured, a termite treatment can be applied.
3. Update tasks.
Use buttons to quickly update tasks. For example, click to mark a task Complete. Planning buckets display past and future weeks. Drag a task into a planning bucket to quickly move it to another week.
4. Adjust dates, find tasks and activities.
Now, let's look at how to adjust the dates that are displayed and how to find tasks and activities. The page utilizes a planning period, allowing you to focus on a limited part of the schedule. This affects the dates available on the planning board and the planning buckets that are displayed. The default planning period configured in the view settings is one week prior to the current week and four weeks after. Expand the planning period if you are not able to view the desired dates on the page or choose to show all weeks. Create a personal view to save changes to the planning period without affecting views used by other users.
5. Show planning period.
Use Show to zoom in on a single day or view up to six weeks of the planning period. At six weeks, task details may not be displayed. Select a task, and its details, indicators, and buttons are displayed below the planning board. Collapse the hopper and planning buckets to expand the planning board. Then zoom in to view task details.
6. Use Scroll and Arrow to move timeframe.
Scroll to move through the six weeks displayed. When moving a task, you can also drag it to the edge of the board to scroll.
Use arrows to move this six-week time frame forward or backward within the planning period. Click today to return to the current week. You can also move a task beyond the six weeks by dropping it in a planning bucket.
7. Page options, Quick filters.
Set the page options to display only tasks or tasks and activities. On the planning board and hopper, tasks are grouped by the activities to which they are assigned. Quick filters are available to help identify tasks. For example, show only those that are assigned to your company.
8. Search.
Use search to find tasks and activities. Results are displayed in the planning bucket section. Click a result to locate it on the page. Only tasks and activities in the planning period are included in the search.
9. Tips for creating and updating tasks.
Let's finish up with some tips for creating and updating tasks. Use the Add button to create a blank task and then assign its properties. To add a task and hand-off simultaneously, right-click an existing task, and then Add before or after it. To add a task directly to an activity, use the plus-sign in the hopper or right-click the activity on the planning board. The task due date is set to the day you right-clicked.
10. View activity data.
Click the activity to view its data, for example, to ensure you schedule the task within the activities start and finish dates. In addition to buttons, double-click a task to update its status. For example, when a task's due date is set and agreed upon, use the commitments tab to commit to that date. If a task cannot be completed by the committed due date, recommit to a new one and provide a reason for the missed commitment.
