LESSON 7-2: Managing Tasks

This tutorial describes how to:
• Use the Tasks app to schedule, update, and track tasks.
• Use the Task Summary panel
• Add a new task for an activity
• Schedule, Commit, Update status and Recommit Tasks.

1. Tasks App.
Use the Tasks app to schedule, update, and track your project tasks. On the Work Plan page, the planning board provides a graphical view of project tasks. The hopper, located to the left of the planning board, holds tasks before they're scheduled, grouped by activity.


2. Task Summary panel.
Use the Task Summary panel to run checks on tasks and monitor the status of your schedule. For example, kick off a planning session by reviewing tasks that are overdue and those that are due this week. The counts for each check are displayed. Select a check to view its description and a list of tasks that qualify for the check. Only public tasks are included.
Click a task to view it on the page. Tasks that are not available due to applied filters are disabled. After making changes, click Refresh to view updated counts.


3. Add a new task for an activity.
Click the plus sign to add a new task for an activity. Select the company and, optionally, the user who will perform the work. Specify a duration and due date or leave them blank until the task is moved to the planning board.


4. Schedule a task.
To schedule a task, drag it from the hopper to the planning board. Move and stretch a task to adjust its duration and due date. Double-click a task to view and adjust all its properties. For example, some tasks can't begin until others are completed. Use Hand-offs to specify such dependencies. The Keep Hand-offs control preserves hand-off relationships as tasks slip or are rearranged on the planning board.


5. Commit the task.
When the schedule is set and agreed upon, commit task due dates. Use buttons to quickly update tasks. Click the Commitments icon to commit the task.


6. Update status of Tasks.
As the project work progresses, update the status of the project tasks. The red Calendar icon indicates that a task's due date has passed, and it requires attention. To mark a task complete, simply click the check mark.


7. Recommit a task.
If a task cannot be completed by the committed due date, recommit to a new one and provide a reason for the missed commitment. Reasons are maintained in the workspace Summary and Settings. A task can be recommitted multiple times. View the commitment history for details on why and when a task was recommitted.
