LESSON 4-3: Sharing Resources and Roles

This tutorial describes:

•    how to promote roles and resources to parent workspaces

1. Owned By column

Roles and resources can be created at either the project or workspace level, and then Promoted up to parent workspaces or assigned down to child workspaces and projects. 
The Owned By column displays the project or workspace where a resource or role was created. These two resources were created in this project. They can be promoted to the parent workspace, so they are available to other projects in the workspace.

2. Promote roles and resources to parent workspaces.
Click Promote, select the resources click promote. Note that after the resources are promoted the Owned By column displays the name of the workspace. To navigate to the Owned By workspace, click the link in the Owned By column. Let's promote them up to the next parent workspace. Again, the owned by column now displays the name of the new workspace that is higher in the hierarchy. Roles and resources can be promoted all the way up to the root workspace. 

3. Assign roles and resources to child workspaces. 
Roles and resources can also be assigned down to projects and child workspaces. First, navigate to another project within the workspace or to a child workspace. Click Assign, select the resources and then click Assign. Resources are assigned to the project, but note that the Owned By column still displays the name of the parent workspace.

4. Resource and role lists consolidation.
The Owned By workspace changes when resources and roles are promoted up in the hierarchy. But when those roles and resources are assigned down to a project or child workspace, they are still owned by the highest workspace to which they were promoted. This enables Primavera Сloud to consolidate the resource and role lists at the highest workspace in which they are used, providing more efficient tracking of their usage throughout the application. 

5. Importance of resource and role lists consolidation.
This is an important point to understand for resource management. Because, while availability and rates can be edited for an individual workspace or project, information in the general, codes, location and roles detail windows can be edited only in the owned by workspace. Click the link in the owned by column. In addition to assign a role to a resource the role and resource must be owned by the same project or workspace
