LESSON 4-2: Creating Resources and Roles

1. Creating a resource
After your project is scheduled, you will need to determine who will perform the work necessary to complete it. Roles and resources are the people and things in your project that perform the work. Let's begin by creating a resource. Click Add, and type the resource's name and an ID.
Fields marked with a red asterisk are required. Type information directly into the cells on the grid or use fields in the general detail window. Status for a new resource is active by default. Select Inactive if the resource won't be starting work until a later date.
Resource type can be Labor for a person, Nonlabor for a piece of equipment, or Material for consumable items like concrete or wire. Default is Labor. Create a flat listing or use the context menu to create a hierarchical structure. 


2. Availability & Rates
After entering general information, click the Availability & Rates detail window. Use this window to specify a limit, the maximum number of hours a day that the resource is available to work, as well as up to five price per unit rates for the resource. Define multiple availability limits and rates by specifying different effective dates.


3. Resource code
Use this window to assign resource code values to facilitate grouping and sorting. Multiple codes can be assigned to a resource. Codes are usually created and maintained by an administrator. But if you have the necessary permissions, you can create new resource codes here. When you're finished, click Select.

 

4. Roles detail window
Now let's look at the Roles detail window. Use this window to define the resource's skill set. Select a role, and click Assign. In the Proficiency column, select a proficiency level. Skilled is the default. You can assign multiple roles to a resource.
Confirm that the primary role checkbox is selected. This is the role most commonly filled by the resource. To create a Nonlabor or Material resource, select the option in the Type column. For a Material resource, select a unit of measure.

5. Creating roles
Creating roles is similar to creating resources. Click roles on the sidebar. Type a name and ID, and then use the detail windows to specify availability, assign codes, and assign the role to existing resources. 

 

6. Assign and Promote roles and resources
To pull roles and resources down from a parent workspace, click Assign. To promote roles and resources from a project or workspace to the parent workspace, click Promote.
