LESSON 3-10: Managing Calendars

1. Activity calendars.
Activity calendars specify the days and hours during which work can be performed on an activity. This can affect an activity's scheduled duration because the application schedules work only during the calendar's specified work time. For example, an activity scheduled to start on a Monday may have a planned a duration of two days. If the activities calendar specifies eight hours of work time every day, Monday through Friday, the activity will start on Monday and finish on Tuesday.
If, however, the activity's calendar specifies 10 hours of work time of day, Tuesday through Friday, the activity will start on Monday, but will not finish until Wednesday because work cannot be scheduled on Monday. 


2. View an Activity's calendar.
View an activity's calendar in the general detail window. Click the select icon to view other available calendars.


3. The calendars defined for the workspace.
Here, you can specify a different calendar to apply to the activity. Or click manage calendars, which displays the calendar's page in the workspace, summary, and settings. The calendars defined for the workspace are displayed in the panel. These calendars are available to both projects and resources.


4. A calendar assigned to a project.
A calendar assigned to a project becomes the default calendar for new activities in the project, although a different calendar can be assigned to any activity on an individual basis. 


5. A calendar assigned to a resource.
A calendar assigned to a resource is the calendar for that resource when the resource is assigned to a resource dependent activity. Information about the calendar selected in the panel is displayed on the tabs.


6. Summary, Calendar, and Standard Workweek tabs.
The Summary tab displays the calendar's standard workweek, holidays and exceptions when work will not be scheduled. The calendar tab enables you to view work time for a particular day, week, month, or year. The standard workweek tab enables you to configure a new or revised calendar.

7. Create a new calendar.
Let's create a new calendar by modifying an existing one. Let's add four hours of work a week on Saturday morning. On the calendar tab, select a date, and create an exception. When you're finished, click save. Back on the activities page, a sign the new calendar to the activity. The new calendar may affect the schedule duration of the activity, so don't forget to reschedule the project.
