LESSON 5-2: Tracking Resource Usage

1. Track Resource and Role usage and Costs.
Use the Schedule and Resources apps to track resource and role usage and costs. On the activities page in schedule Recalculate Costs, then display the Project Usage layout
2. Activity Usage tab.
The Activity Usage tab provides a timescale histogram of all units and costs in the project. The Histogram is synchronized with the Gantt Chart above in both time period displayed and time scale. Customize the graph to Show Units or Costs and select the bars to display, including planned and earned value figures. Display period values if you are using Stored Period Performance.
3. Resource Usage and Role Usage tabs.
Use additional tabs to analyze usage and costs by Resource or Role and identify overallocation. Select all or use checkboxes to select the resources you want to analyze. Identify an overallocated resource then view the spreadsheet for a list of activities it is assigned to. Use the dropdown to display only those activities in the table above. View activity details to manually resolve overallocation. For example, replacing overallocated resource by identifying a replacement with the required role assigned. Click Show Details to confirm the resource is available to work on the activity.
4. Resource and Role overallocation resolution analysis.
Recalculate Costs then switch back to Project Usage to confirm the overallocation is resolved. Turn on the FTE option to perform a fulltime equivalent analysis. View the number of fulltime employees required to complete the work. Use this option to perform a simple analysis of the project's allocation, eliminating the need to consider resource and role calendars.
5. Assignment List page.
Next, let's look at the Assignment List page available in both the Schedule and Resource apps for a detailed list of all resource assignments in the project. The page features a grid with assignment details. Add columns to view additional details such as codes, dates, durations, financial figures and units. The page also includes a timescaled spreadsheet to view financial figures and units over time.
6. Resource Analysis page.
Click the closer look icon to view activity details. On the Resource Analysis page view time phased allocation data. The analysis page displays a resource or role's maximum availability, allocation and units under or over maximum availability for a defined time period.
7. View and analyze resource data at the project level or in multiple projects at the workspace level.
Data is displayed in both a time scale spreadsheet and histogram. Again click the closer look icon to see activity details for a resource's assignments. Click roles to view allocations by role. Staffed roles are displayed in dark green, unstaffed roles in light green.
View and analyze resource data at the project level or if you're managing resources in multiple projects at the workspace level. At this level the assignments page displays all the resource and role assignments across all of the projects in the workspace. Each assignment is listed individually with the unit total rolling up to the resource grouping band.
