Aconex Associate: Make Aconex work for you: Module 2 Finding other people

In other lessons, we learned how to send mail and reply to mail. But what if the person we need to send a mail to is not actually on the project? That's when we need to invite them.


The only proviso is that they must have an Aconex user account. To invite someone, all we need to do is send them a piece of mail. Let's start a new blank mail to demonstrate this.


First, the mail type isn't important. Any type of male will do. But it's probably not a good idea to send them a mail type that is too official sounding as that may be confusing.


We click To or Directory. And this opens the Project directory. Notice that there are two tabs at the top of the search options. We're going to search in the Global directory.


Keep in mind that the directory will contain thousands of names. We'll make this one simple by searching for just an Organization Name. Before we add someone to the new mail, we must make sure it's the right person.


If they have a common name, it's easy to pick the wrong one. So take your time. And if there's any confusion, double check the details with a colleague. If you do invite the wrong person, you'll need to contact our support team to get them removed. Once we've found who we're looking for, we add them to the mail recipient list, and send the mail. That's it.


But there are a couple of scenarios where this is not automatic, and that depends on the configuration of the project. The project administrators can restrict the method of invitation so that all invites have to be approved by them first.


They can also turn off the invite mechanism altogether. And in this scenario, you won't see the Global directory tab and you'll need to contact the project administrator if this is the case.


But what if you can't find the person you're looking for in the Global directory? Well, there are two options. The first is to get them to register via our help site. And note, you can't do this on their behalf. They must do it themselves. But once they've registered, you'll be able to invite them.


The second option is to create a guest account for them. At the top of the screen, you'll see Create Guest. Here you can enter the required details. And all that's needed to send them a mail is their email address.


Guest accounts are not able to log into Aconex or any projects, but they can receive email notifications and attachments. And this type of account is useful for people if they have very little contact with the project team, for example, a legal advisor. Lastly, notice that the people that have a full user account are shown with this icon next to their name and guest accounts have this icon.
