Start With the Work Breakdown Structure (WBS)

  • Decompose Work Packages: Each work package should be further broken down into activities—the smallest units of work that can be scheduled, assigned, and tracked.
  • Use Planning Packages When Necessary: If some details aren’t clear at first, placeholder activities (planning packages) can be used until more information is available.

To ensure your activities are actionable and aligned with the project’s purpose, adopt the following best practices:

Iterative Planning

Especially in agile or phase-based projects, define activities only for the current phase or iteration. This keeps planning responsive and relevant.

Engage the Team

Involve those doing the work. Your project team often has insights into the real steps required and will appreciate the opportunity to contribute. This builds ownership and improves accuracy.

Use Action Verbs

Activities should be action-oriented. Avoid vague nouns; be precise about the task. For example:

  • “Removal boxes”
  • “Pack removal boxes”

To move from planning to scheduling:

  • Use only approved deliverables and requirements as your starting point.
  • Each activity should contribute to a specific deliverable.
  • Keep activity names simple, actionable, and universally understandable.
  • Revisit the activity list regularly to ensure ongoing alignment with the overall project plan.

3.     Break Work Packages → Into Activities

4.     Validate Each Activity:

  • Is it clear? (Uses verbs)
  • Is it doable within the time frame?
  • Does it support project goals?

 

Always Maintain Strategic Alignment

Every translation—from organizational goals —> project goals —> deliverables —>activities—is an opportunity to lose sight of the big picture. Don’t let that happen.

Ask regularly:
“Does this activity still support the strategy?”
This feedback loop ensures your team’s daily efforts are aligned with your project’s mission and your organization’s objectives.

Example 1 – Office Relocation Project

Deliverable: "New office space set up and operational by October 1st"
Defined Activities:

  • Identify new office location
  • Negotiate and sign lease agreement
  • Pack existing office equipment
  • Transport items to new location
  • Install IT and communication infrastructure
  • Set up workstations and common areas
  • Test systems and complete readiness checklist

Each activity is a stepping stone toward the larger goal and directly contributes to realizing the final deliverable

Example 2 – Work Package Breakdown

WBS Work Package: "Install HVAC System"
Extracted Activities:

  • Review mechanical drawings and specifications
  • Order HVAC units and materials
  • Receive and stage equipment onsite
  • Install ductwork and vents
  • Mount HVAC units
  • Connect electrical systems
  • Test and commission the system
  • Conduct final inspection and obtain sign-off

These tasks are time-bound, resource-specific, and clearly executable—perfect candidates for scheduling.
